Your personal data is processed in accordance with the applicable legislation, in particular Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation - GDPR).

The Data Protection Officer (DPO) can be contacted by post or email. In accordance with the GDPR, your request will be processed within 30 days from the moment i-CITY asbl is in possession of all the elements allowing the processing of your request. If the request is complex, the period can be extended by two months. In this case, you will be informed.

Collection and use of personal data

Personal data is information through which you are directly or indirectly identifiable and which is communicated when you use the website. This personal data may include, by way of example, and without limitation: your first and last name, your email address, your postal address or your telephone number. This data is managed by a specific HR software, we do not collect it.

i-CITY asbl may collect certain personal data, in particular when submitting an email, sending an application form or contacting the central purchasing office.

  • Application form: you provide your surname, first name and email address and can upload a cover letter and your CV*; you include the data you consider necessary for the application procedure.

* The CV is mandatory.

i-CITY asbl will only use these data for the application procedure and will not share them with third parties.

i-CITY asbl will keep these data for a reasonable period, a maximum of 2 years after the last exchange, unless you refuse it. 

  • Contact form: you provide your surname, first name, company name, job title, email and address in order to contact the secretariat, human resources.

For all information sent as part of a contact form or for any contact, i-CITY asbl will only use this data in the context of the information and/or services requested and will not share it with third parties.

i-CITY asbl will store these data for a reasonable period, up to a maximum of 3 years after the last contact or sending, unless you refuse it. 

Security of personal data

i-CITY asbl agrees to implement all technical and legal means to protect personal data, in order to prevent them from being distorted, damaged or communicated to unauthorised third parties.

Although all necessary security measures are taken to ensure the security of your data, it cannot be excluded that an incident may occur during the transfer of data via email or the Internet.

Obligations of the data controller

The data controller agrees to process the personal data collected in a lawful, fair and transparent manner, but also in a legitimate and relevant manner, in compliance with the purposes for which the data were collected.

The controller shall ensure appropriate security of personal data, including against unauthorised or unlawful processing or against loss and destruction, by means of appropriate technical or organisational measures.

In the event that the integrity, confidentiality or security of the user's personal data is compromised, the controller agrees to inform the user.

i-CITY asbl reserves the right to modify this policy at any time and for any reason. The most recent and valid version of this policy can be viewed permanently on the website. It is useful to consult this policy periodically in order to be informed any changes.
